Seven steps. Every time.
Every transaction follows the same structure — from the moment a piece is submitted to the moment a seller gets paid.
Submit
The seller completes the intake form with photos, condition notes, ownership history, and any reserve preference. Thorough submissions move through curation faster and perform better at auction.
Curate
We review every submission for authorship, condition accuracy, photography quality, market fit, and reserve realism. Accepted pieces are prepared into complete auction listings — images organized, descriptions refined, context added for buyers.

Schedule
Approved listings are placed into the auction calendar with a scheduled close time. For multi-listing events, pieces are staggered so each gets its own closing moment and full bidder attention.
Auction
The listing goes live. Approved members bid through the platform. The public comment thread keeps questions visible to every bidder equally. Anti-sniping extends the auction when bids land inside the final two minutes.
Any bid in the last 2 minutes extends the auction by 2 more. Auctions close fairly.
Set a maximum — the system bids incrementally on your behalf up to your limit.
A one-time hold (5% of your first bid, $25 minimum) is placed when you first bid. Released if you don't win. If you win, a separate final payment is collected.
No Reserve listings receive a 10-day featured auction window and guaranteed Sunday close — built to maximize exposure, watcher count, and bidder confidence.
Payment
The winning bidder is contacted to complete payment. A 5% buyer's fee applies (minimum $25), based on the closing price, and is added to the total. Shipping is confirmed and invoiced separately.
Deliver
The seller packages the piece per our Recommended Shipping Standards and ships with tracking and the carrier coverage they choose. Buyer and seller may also agree to an in-person handoff for higher-value pieces.

Photos or video of the packed piece protect you if anything goes wrong in transit.
Verify & Payout
After confirmed delivery, the buyer has 72 hours to inspect the piece and confirm it arrived as described. Once that period closes without a dispute, The Glass Exchange team issues the seller payout. If there is an issue, the buyer opens a dispute and we step in to resolve it.

Seller payout is held through the 72-hour post-delivery inspection period. If a dispute is raised, we step in before funds move. If nothing is disputed, The Glass Exchange team issues the payout after the window closes.
Buyers are encouraged to record a continuous unboxing video when shipped items arrive. This documentation is only required if a dispute is opened, but it helps The Glass Exchange review delivery and condition issues fairly. Unboxing guidelines →

Recommended Shipping Standards
To help protect buyers, sellers, and rare collectible work in transit, we strongly encourage the following professional shipping standards for all high-value shipments.

- Discreet exterior packaging
- Retain packaging materials until transaction completion
- Optional third-party shipment protection for high-value pieces

Optional Shipment Protection Resources
Some collectors choose to purchase additional shipment protection for higher-value, fragile, or difficult-to-replace pieces.
Coverage availability, exclusions, limits, and claim eligibility vary by provider, carrier, packaging method, shipment value, and destination.
White Glove & Concierge Delivery
For exceptionally valuable, historically significant, or difficult-to-replace collections, some collectors may prefer private courier coordination, in-person handoff, or white glove delivery arrangements.
While not required, personalized delivery coordination may provide additional peace of mind for certain high-value transactions. Available upon request and may be coordinated for select transactions.

Transactions are supported by verified bidding, a temporary 5% card hold, agreed shipping terms, and held seller payout until delivery is confirmed and the 72-hour inspection period closes. If something goes wrong, the dispute process gives both sides a structured path to resolution.
Bids are placed by approved members through the live auction. If your bid is valid and higher than the current bid, you become the high bidder immediately. All bids are binding. You can also set an auto-bid maximum and let the system bid incrementally on your behalf.
A temporary card authorization may be placed during bidding to support serious participation and reduce non-performing bidders.
This authorization is not a charge. If you do not win, no buyer's fee is collected.
If you win, a 5% buyer's fee is charged at auction close using your verified payment method.
If the reserve is not met, Transaction Support can step in. We contact both the high bidder and the seller privately to explore a post-auction agreement. No obligation on either side, no additional fee if a deal is reached.
